Tools to Stay Organized in 2025
Although there is no one miracle solution or one right way to stay organized, I wanted to share a few tricks I use to stay on top of my workload. Everyone has a different method, but is your desk plastered in post-its? We would love to hear how you stay organized - we'll share your tips with our members! Below are my Top 5 Tools & Tricks for staying organized in 2025.
# 5 - Email Folders: For most of us, our work revolves around emails. To keep my inbox organized and not feel overwhelmed when I open my Gmail account, I have folders and subfolders to keep all of my emails organized in a way that makes sense for me. I keep unanswered emails in my general inbox, but once an email has been marked read and responded to, I move it to the appropriate folder that I created, and then I can quickly recall the information in the email if needed! This helps me save information in a methodical way and keep my inbox from becoming too overwhelming.
# 4 - Lists: I create a weekly objectives list that breaks down tasks into short-term (or tasks that can be completed quickly), medium- and long-term goals. I usually update my list on the weekend so that when I come in Monday, I am ready to go. As tasks come up that can be quickly dealt with, I don't add it to my list, I take care of it immediately. I will take breaks from short-term tasks to work on bits of my medium- and long-term items.
# 3 - Calendar: I keep one master calendar. Work, life, reminders, etc. I keep it all in one place - on my Google calendar. I used to have separate calendars for life things and work things... I used to keep a digital and a physical... but it was too much. I now keep everything in one calendar. I've ditched the physical calendar because my Google calendar is always with me.
# 2 - Bookmarks: I never have to search for most sites again. I bookmark every important site that I visit in my browser. I even make folders for bookmarks, for instance, all of my Google Sheets that I need to access are bookmarked in my Spreadsheet folder on my browser. I save a lot of time by not having to recall or search for things I access both regularly and irregularly.
# 1 - Digital Workspace: I have been using Trello for over a decade and find it to be one of my favorite tools for keeping myself organized. It works on a board, list, and card system (Microsoft Planner is similar, but I find Trello to be much better). Trello is also a great tool when working with a team of people. I use it to create my weekly task list. I can assign tasks to other users, set due dates to send reminders, label, attach files, and even create automation.
